StudentTranscripts Service (STS)

The StudentTranscripts Service is an online self-serve tool that British Columbians can use to:

  • View and order their B.C. or Yukon Secondary School transcripts (grades 10–12)
  • Send their B.C. or Yukon Secondary School transcript to Post-Secondary Institutions (colleges and universities)
  • Order their B.C. graduation certificate or school completion certificate
  • Order the GED® transcript and/or certificate
  • View their B.C. Scholarship awards
  • View their B.C. provincial exam or graduation assessment results

To access the StudentTranscripts Service you will login with your Basic BCeID; if you have not already signed up for the StudentTranscripts Service, the system will direct you to the registration page. Student Transcript Service website: http://www.studenttranscripts.gov.bc.ca

If you have your PEN and a Basic BCeID, you may register for the StudentTranscripts Service.

Steps for registering StudentTranscripts Service (STS)

  1. Go to the StudentTranscripts Service (STS) website
    • Please ensure you are registering with a laptop or desktop computer. The STS is not optimized for cellphone/smartphone use and registering this way can cause errors.
  2. Login using your Basic BCeID username and password.
    • If you have an STS account, you will be taken to the STS Dashboard; if you do not, you will be taken to the registration page.
  3. Enter your Student Information:
    • PEN: enter your nine-digit Personal Education Number (PEN).
    • First Name: enter the legal first name you used in Secondary School.
    • Middle Name: enter your middle name (optional).
    • Last Name: enter the legal last name you used in Secondary School.
    • Birthdate: enter your Date of Birth in day/month/year (dd/mm/yyyy) order.
  4. Enter your Contact Information:
    • Email: use your personal email address; this is how the StudentTranscripts Team will contact you if required.
    • Phone Number: your phone number (optional).
  5. Activate your account:
    • A successful registration sends an email to you. The email contains an activation link that will connect your Basic BCeID to your STS Account; this is done to protect your privacy.
    • You must click on the link in your email (within 24 hours) to complete the registration process.
  6. Return to the StudentTranscripts Service Login Page. Enter your Basic BCeID username and password to access the StudentTranscripts Dashboard.
 

I’m having trouble registering for the STS. Who do I contact?

Please email the StudentTranscripts Team at studenttranscripts@gov.bc.ca. Include your full legal name, your Date of Birth, and your PEN along with a description of the problem.

 

The system says “We cannot find your record.” 

  • Please ensure you have entered a correct PEN, Date of Birth and the legal name you used while attending Secondary School
  • Please type all responses in, rather than cutting and pasting
  • Do not include preferred or Anglicized names, nicknames, or other titles. If your surname uses an apostrophe or hyphen, be sure to include it
  • Be sure that you have entered your Date of Birth in the correct order and format (dd/mm/yyyy)
 

I can see my unofficial transcript, but how do I get the official transcript?

  • Once you have placed and completed your order on the StudentTranscripts Service (STS) website your official Transcript of Grades will be sent from the Ministry of Education and Child Care directly to your recipient
  • The unofficial Transcript is shown on the dashboard and during the ordering process, so you have the opportunity to review all course and grade information and confirm that it is correct prior to finishing your request
 

I’m having a problem with the StudentTranscripts Service. How do I get in touch?

Email studenttranscripts@gov.bc.ca and include your full legal name, your Date of Birth, and your PEN along with a description of the problem.

Personal Education Number (PEN)

Students entering B.C.’s education system are assigned a Personal Education Number (PEN) a unique 9-digit number.

If you attended a B.C. K-12 school since 1986, then a PEN may have been assigned to you.

Are there other ways to find my PEN?

  • Check with your current, or most recent Secondary School
  • The top right-hand corner of your official Ministry of Education and Child Care transcript
  • In the demographic information of your Permanent Student Record
 

Can I find out my child’s PEN?

PEN is only given to:

  • The person it is assigned to
  • The person’s current or future school (for early registrations)

Can I phone/email the StudentTranscripts Service to get my PEN?

Under the Freedom of Information and the Protection of Privacy Act, PEN information cannot be given over the phone or email. Please contact PEN services for help with PEN related information. 

BCeID

To access the StudentTranscripts Service you must use a Basic BCeID; a BCeID account is an online "ID" that enables end users to securely access multiple online government services with a single user ID and password.

Do I need to be a resident in B.C. to register a Basic BCeID?

A Basic BCeID can be created from anywhere and you do not need to be resident in B.C.

Ordering Transcripts

 

Current student order options

  • You will receive your graduation certificate at no charge from your school once you have met graduation requirements
    • You can also order copies of your certificate online using the StudentTranscripts Service for $10.00 CAD each
  • You can order your transcripts online using the StudentTranscripts Service
    • You may send up to 25 transcripts to Post-Secondary Institutions (PSI) at no charge
  • You may send one printed, mailed transcript to a Third Party (including yourself) at no charge
  • Additional transcripts beyond the 25 sent to PSI’s or the one sent by mail, or any digital PDF transcripts sent by email are $10.00 each
  • Orders for digital PDF transcripts are processed after your order has been placed. Orders for paper transcripts and certificates are processed in 3–6 business days, then mailed using Canada Post standard letter mail service

Ordering Questions

 

How do I know if I’m a current student or a former student?

  • A current student is one who is either enrolled in a B.C. Secondary School course or has completed a B.C. Secondary School course within the last six (6) months
  • A former student is anyone who has not been enrolled in a B.C. Secondary School within the last six (6) months but has been enrolled in a B.C. Secondary School course in their lifetime
 

How do I get a digital copy of my certificate?

Certificates are only available as printed documents, sent by Canada Post standard letter mail service. Digital copies are not available.

 

I made an order several weeks ago. Can you track my order?

Please be aware that there is no tracking information available for postal orders, so the only way to determine if the recipient has received your transcript is to contact them directly.

 

Can I send my order through express post?

Expedited, courier mail, and pick-up services are not available. If you require a transcript immediately, please order a transcript as a digital PDF.

 

Credit card orders

The StudentTranscripts Service uses B.C. Express Pay to process all transactions and accepts Visa, MasterCard, American Express, Visa Debit, MasterCard Debit and Interac Online. Once payment details have been entered and confirmed, the system will provide you with an order summary.

Note: If you enter an invalid credit card or cancel the payment you will need to re-enter the order.

Important Note: Orders for paper transcripts and certificates are delivered to the address indicated on the order form using standard letter mail service and cannot be faxed or emailed. Orders are processed approximately 3–6 business days after payment has been processed.

 

Non-credit card orders

You can pay offline by money order or cheque:

  • Money orders are processed upon receipt.
  • Personal cheques must clear the bank before your order is processed; note this can take up to 10 business days after your cheque has been received in our office. Once your cheque clears, your order will be processed.

Transcript Format

 

XML Data Transfer Transcript

Process time of up to 48 hours, after which the Post-Secondary Institution can receive, and request updates to your information until the date you authorized in the order.

 

Paper Transcript

Process time of up to 6 business days, plus an estimated mailing time of up to 8 business days for orders within Canada, 10 business days for orders to the USA, and 12 business days for orders sent internationally (all mailings through Canada Post standard letter mail service).

 

Digital PDF Transcript

A link to activate your records will be emailed to the email address you provided in your order after your order has been placed.

General Questions

 

What is a Transcript?

A transcript is an official document that shows your Secondary School marks and credits in a British Columbia Graduation Program. Your transcript includes:

  • A record of all courses you have successfully completed in a British Columbia Graduation Program, including final marks and credits
  • Honours received–noted only at the end of the transcript
  • Participation in any special programs
  • Graduation status (missing requirements, eligible, or graduated)
  • Transcripts from 2004 to the present include Grades 10–12
 

What is a Certificate?

The B.C. Graduation Program certificate, sometimes referred to as a diploma or “Dogwood diploma”, is your official graduation document. It bears the seal of the Ministry of Education and Child Care and the signatures of appropriate witnesses. Your graduation certificate can be ordered online if you graduated in British Columbia after 1985.

  • Certificates are only available as printed copies. We do not provide digital PDF’s of certificates and certificates do not contain original signatures.

A School Completion certificate, sometimes referred to as an “Evergreen”, may be ordered online if you left school in British Columbia after 1993.

 

What is a GED® (transcript or certificate)?

The GED® Program was available in B.C. between 1973 to 2014. The Adult Graduation Program replaced the GED® Program in 2015. 

If you completed the Adult Graduation Program, please go to the StudentTranscripts Service (STS).

The General Educational Development (GED®) tests were five multiple-choice tests in the areas of language arts writing, language arts reading, social studies, science, and mathematics. The language arts writing test also required the writing of an essay.

The GED® was primarily a test designed to measure the skills that a student would have normally gained through twelve years of formal education. Successful completion of the five exams earned a student a GED® transcript and certificate.

The Ministry of Education and Child Care has B.C. GED® records available between 1973 to 2014. On the StudentTranscripts Service webpage, you can order:

  • Your GED® transcript for $10.00 CAD
  • Your GED® certificate for $10.00 CAD
 

What should I do if the StudentTranscripts Service (STS) says I don’t have a transcript?

Email studenttranscripts@gov.bc.ca and include your full legal name, your Date of Birth, your PEN (if known), and the name of the last school you attended.

 

Can you email me my certificate?

Certificates are only available in printed formats by mail. We do not provide digital images or digital PDFs of certificates.

 

How do I have my documents authenticated?

Contact the B.C. Authentication program for more information.

 

What Grades does my transcript include?

  • Transcripts from 2004 to the present include Grades 10–12
  • Transcripts from 1986 to 2003 include Grades 11 and 12
  • If your transcript appears to be missing Grade 10 results, contact the StudentTranscripts Team: studenttranscripts@gov.bc.ca
  • Be sure to include your full legal name, your Date of Birth, your PEN (if known), and the name of the last school you attended

Privacy

The StudentTranscripts Service contains both a Collection Notice and a Privacy Notice; users should read both and are required to provide consent prior to ordering a Transcript or Certificate online.

 

Collection Notice

The StudentTranscripts application collects personal information for the purposes of verification to authorize you to access your own student records and/or in some cases, where automated access is not possible, to retrieve and/or mail your student record information. This is collected by the Ministry of Education and Child Care under section 26(c) of the Freedom of Information and Protection of Privacy Act.

 

Privacy Notice

The personal information you provide to this website is collected by British Columbia Ministry of Education and Child Care under the authority of 26(c) and 26(e) of the Freedom of Information and Privacy Protection Act and the School Act, ss. 79(3) and 168(2)(t) and (k). Collected information will be used for the purpose of administering the Student Transcript Service (STS) and for policy planning and evaluation of services supporting student mobility through portability of their credentials.
