Our privacy commitment

Provincial Employees Community Services Fund (PECSF), also known as the Community Fund, is committed to maintaining donor confidence by protecting your personal information.

 

What kind of information does PECSF collect?

In order to process donations and payments by employees to the charities of their choice, PECSF must collect certain personal information.

This information is housed securely in the corporate payroll system. This information may include name, type of pledge, amount donated, personal address, telephone number, email address, workplace profile information and any other personal information provided to us.

For donations by cheque, donor data includes the personal information provided on the cheque.

PECSF does not share or sell donor lists to any other organization, nor do we solicit lists from other organizations.

We respect donors' wishes to remain anonymous and not be solicited for donations from outside fundraising agencies.

 

Requests for confirmation of charitable donation

Where an employee wishes for a specific charity to be informed of the details of their donation, it's the employee’s responsibility to contact the charity and PECSF office directly.

PECSF will not give out details to any charity without explicit donor consent.

 

How is your information used?

Personal information is collected by the BC Public Service Agency for the purposes of processing and reporting on your pledge for charitable contributions to the Community Fund under Section 26(c) of the Freedom of Information and Protection of Privacy Act. 

Specifically PECSF uses donor information to:

  • Process donations and for record keeping
  • Distribute receipts and thank donors
  • Prepare campaign statistics and internal analysis on charitable giving
  • Report to applicable government agencies (such as the Canada Revenue Agency) as required by law
  • Inform employees about upcoming workplace Community Fund activities

Pledge forms and any related documentation are held securely at the PECSF central office and handled in accordance with the Document Disposal Act and other applicable records management protocols including the ARCS/ORCS document classification system.

Campaign volunteers must keep completed pledge forms in a secure area until they're given to the PECSF office.

 

Campaign donation statistics

When final statistics are prepared and published, only dollar amounts and participation rates are disclosed.

The dollar amount pledged is included in the total amount pledged by all employees within the ministry/organization and PECSF region. As always, individual charity choices are confidential and not shared.

For the purposes of participation incentive draws, donor names will be included in a report issued to the PECSF lead coordinator (applicable to their ministry/organization) during the active awareness campaign.
