Monthly enrolment reporting

Funding payments are based on your monthly enrolment. To receive Child Care Operating Funding and, if applicable, Child Care Fee Reduction Initiative funding, you must submit enrolment reports through My ChildCareBC Services

How to report enrolment

Before submitting your report, make sure your facility information, service details, approved parent fees, and closure requests are up to date in My ChildCareBC Services. The Manage Report section is your central place to create, manage and submit reports.

When completing your report: 

  • Report enrolment, not attendance 
  • Count each child only once per day 
  • Include children who are enrolled but absent if care was available and they were scheduled to attend 
  • Report drop-in children only if they are using a space that has not already been counted as an enrolled space 
  • Only report enrolment for days your facility is open and providing child care, unless an approved closure allows enrolment reporting 

Funding is calculated using the enrolment you report, your approved rates, and your service details. 

Projected and exact enrolment reporting

There are two options for submitting your monthly enrolment reports.

 

Projected enrolment

You can submit a projected enrolment report starting on the 15th of the month before the reporting month. 

For example, you can submit an August projection beginning July 15. 

Projected reporting allows payments to be issued sooner. Once actual enrolment is known, you can update the report to reflect the correct numbers. 

 

Exact enrolment

You can also wait and submit your report using actual enrolment figures. 

Reports and adjustments must be submitted no later than the last day of the sixth month after the reporting month. 

For example, an April report must be submitted by October 31.


Keep your records

Remember to keep a record of:

  • The full name, date of birth and date of enrolment for each child
  • A monthly schedule of confirmed enrolled spaces
  • Registration and daily attendance records (arrival and departure)

You may need to provide records for a review or audit, so make sure to keep all original documents that support the enrolment claims you make for two years after the date of a claim. This includes registration and attendance forms. In the event of a review or audit, child care providers must have consent from parents to share information about their family.

Reporting enrolment during closures 

 

Approved closures with parent fees charged 

If your facility has an approved closure and parent fees continue to be charged, report enrolment for those approved closure days as though the facility were open.

 

Closures without parent fees charged 

Do not report enrolment for days when your facility is closed and no parent fees are charged.

Emergency closures

Submit a closure request as soon as possible. Report enrolment only if the closure is approved for funding. 

Make corrections or adjustments

If you need to change a report: 

  • Use Edit to update a report that is still available for editing 
  • Use Adjust to correct a previously approved report 
  • Adjustment payments will be automatically calculated. Any additional funding may be paid to you, or overpayments may be recovered through future payments. 

You must notify the ministry of any funding overpayment, even after the reporting deadline has passed.

Payment information is available in My ChildCareBC Services

Once a report is approved, payment is typically issued within a few business days, although processing may take longer if clarification or corrections are required.
