Telework at a ShareSpace location

ShareSpace is a corporate coworking environment purpose-built to support flexible and hybrid work in the BC Public Service. Two ShareSpace locations are currently available as potential telework locations in the Greater Victoria area: LakePoint (in Langford) and Capital Park (in the Legislative Precinct in downtown Victoria). About ShareSpace

ShareSpace is a co-working model providing BC Public Service employees flexible workplace options.

ShareSpace locations are not dedicated to any one ministry, they are shared spaces providing an opportunity for employees from a variety of different ministries to work outside of their regular headquarters or base location.

 

Process to follow to work at a ShareSpace office

Employees interested in working at a ShareSpace location should submit a request to their supervisor or manager.

You need to work with your supervisor/manager to complete a telework agreement and attend an orientation before you begin working at a ShareSpace location.

Supervisor/manager considerations to approve ShareSpace telework requests

Your supervisor/manager will consider many of the same factors as they would to approve a request to telework from home, including:

  • The employee understands that telework is a privilege not an entitlement
  • The employee understands that participating in a telework arrangement is voluntary and requires the mutual agreement of the employee and supervisor/manager
  • The supervisor/manager is confident the employee can perform satisfactorily as a teleworker and will maintain their level of performance
  • The supervisor/manager is confident the teleworking arrangement will not have a negative effect on the operations or effectiveness of the work unit
  • The employee understands that should either they or their supervisor/manager conclude the telework arrangement isn’t working, the employee will be expected to work at their official workplace (or another telework location that has been approved by the employee’s supervisor/manager)
 

Telework agreement for ShareSpace locations

An employee is deemed to be teleworking if they're working away from their official workplace for a portion of their regular workweek.

The ShareSpace locations are not dedicated to any one ministry so you must complete a telework agreement for you and your supervisor/manager to confirm the details of this working arrangement, including:

  • How many days a week you intend to book space to work at the ShareSpace location
  • Your schedule on those days
  • How you will ensure that sensitive information is kept confidential and secure

Note that some of the information required in a telework agreement will not be necessary for employees teleworking at a ShareSpace location, for example:

  • The office meets occupational health and safety standards
  • There should be no cost issues to consider
 

Travel expense eligibility when working at a ShareSpace

Your dedicated ministry office remains your official workplace for the purposes of employee travel. You cannot claim travel expenses for travel between a ShareSpace location and your official workplace.
