Leave liability responsibilities

Depending on your role, there are different responsibilities you will need to familiarize yourself with. Below is an overview of responsibilities.

Employees

  • Have leave authorized before taking it
  • Enter leave in time and pay in a timely manner
  • Ensure leave balance records are correct and up to date
  • Ensure leave banks are not overdrawn

Approvers and managers

  • Monitor absences or delegate the task when away from the office
  • Audit absences against time entered in time and pay
  • Ensure leave transactions are entered and approved in a timely manner 
  • Review the pay expenditure report and reconcile it with financial reports
  • Ensure leave transactions and balances are accurate for all employees

Chief financial officer

  • Use available reports to bring issues to managers’ attention
  • Advise managers of any problem trends or leave patterns indicated by leave consumption reports 
  • Advise managers of potential payouts where employees have not taken their minimum vacation leave
