47. In the left-hand menu, click Notify & Share to notify all Suppliers.

info alert Buyers can use the Search Submissions section to narrow filter by Supplier, Amendment or the Decision made in the Analyze & Award menu.

  a. Click Send notification in the Notification column. This will open Send an e-mail dialog box.

Note: For opportunity types that involve shortlisting or qualifying Suppliers, Buyers notify the Suppliers through the Discussion Forum or a communication channel external to BC Bid application.

b. Optional: In the Email section, the BC Bid application displays a default email template that can be edited as necessary and allows attachments to be added to the email.
  c. Click Send & Close

  d. Click Create Contract Award Summary.

Note: The contract award notice should be published, when appropriate, as soon as possible after the Contract has been signed.

If awarding multiple Contracts from a single opportunity, do not use the contract award notice within the opportunity. Use the Contract Award Notice webform. See Direct Award section for use but include your Opportunity Type and ‘competitive’ for your Justification.

 

Creating a Contract Award Summary

  e. In the dialog box, complete the following:

  1. Enter Contract Number.
  2. Enter Contract contact email.
  3. Enter the full address of the Issuing Location.
  4. Select Award Date.
  5. Enter Contract Value.
  6. Enter “Competitive” in Justification for Direct Award/Limited Tendering.
  7. Enter the Supplier Contract Address.
  8. Click Publish.

f. Click Close.

 

Editing a Contract Award Notice

1. Open the opportunity in which you created a Contract Award Notice via the Notify & Share tab.

  1. Select the hyperlink above the Create Contract Award Summary button.

2. Make any required changes on the Contract page. Note you can only make changes to these fields:

a.    Contract Number
b.    Contract contact email
c.     Issuing Location
d.    Award Date
e.    Contract Value
f.      Justification for Direct Award/Limited Tendering
g.    Supplier Contract Address

3. Click Publish.
4. Then click Close.

Note: A Contract Award Notice cannot be deleted. Please contact the BC Bid helpdesk if you require any assistance.
