How to Use eTaxBC

Online Registration

 What if I know my business number (BN9) but no other information?

You can still register using eTaxBC. A BN9 is required to prevent us issuing you another BN9.

In the above scenario you will need to follow these steps:

  1. Enter your BN9. Click the Search button 
  2. If you do not know any of the other information (Filling period end date and Total Sales and other revenue), click on the Confirm button
  3. You will now be able to click the Next button to continue with the registration process

 Where can I find my incorporation number?

Your incorporation number and date of incorporation can be found in the following documents:

  • Certificate of Incorporation
  • Notice of Articles
  • Corporate Annual Report
  • Minute Book

If you can't locate these documents and you have your business number (BN9), you can search online for your incorporation number.

For BC corporations, go to BC Registry Services' Corporate Online and follow these steps:

  1. Click Reprint a previous filing (2nd bullet from the bottom)
  2. Click Next
  3. Enter your 9 digit business number in the Business Number (BN9) field
  4. Click Next
  5. Your incorporation number is displayed

For federal (Canadian) corporations, go to Corporations Canada and follow their instructions.

 How do I enroll for access to eTaxBC to manage my tax account(s) online?

You can enroll for access to eTaxBC two ways:

  • If you have already registered for a tax account, you can enroll for access to eTaxBC any time. To enroll, you will need the following information:
  • Your business number (BN9)
  • Your tax account number
  • A copy of a recently filed provincial tax return
  • An amount from the tax return

 I've already enrolled for access to eTaxBC and I have a username. How do I add access to another tax account?

  1. Log into your eTaxBC account
  2. Click on the Add Access to My Account link under I Want To... in the top right-hand corner
  3. Select the tax account type
  4. Enter the tax account number
  5. Enter a filing period and the corresponding amount due from a recent tax return
  6. Click Submit

File & Pay

 How do I file a return?

  1. Log in to your eTaxBC account
  2. Click on the tax account number
  3. Click on File Now
  4. Complete the return form
  5. Click Submit

Note: If you file both MRDT and PST returns, after Step 2, click View Returns. Both returns will be listed. Click File Now and proceed to Step 4.

You can save and finish a return at a later time by clicking on Save and Finish Later. You must still go back and submit the return as it hasn't been sent to the ministry yet.

 I didn't collect any tax this period. Do I still have to file a return?

Yes, you must file a Nil return if you did not collect any tax during a period. Check the Nil Return check box on Step 1 of the return.

 What is the due date for remitting tax?

The due date for remitting tax varies depending on which tax return you are filing.  The due date will be at the top of your return.

  1. Log in to your eTaxBC account
  2. Click on the tax account number
  3. Click on File Now
  4. Due date is at the top

 How do I add or change the bank account?

There are two types of payment sources (bank accounts) you can add and change:

  • Account Payment Source: the default bank account used by a tax account. This account will be pre-selected when you make a payment for that tax account. Each tax account can only have one account payment source.
  • Taxpayer Payment Sources: bank account(s) that can be used to make payments for any tax account. You can have as many taxpayer payment sources as you need.

To add or change a payment source:

  1. Log in to your eTaxBC account
  2. Click on the View Profile link beside I Want To... in the top right-hand corner
  3. Under the Payment Sources tab, click on the type of payment source you would like to add or change
  4. Click the blue link to the right of the account name
  5. Complete the cheque with the bank's transit, institution and account numbers
  6. Read the Pre-Authorization Debit Agreement
  7. Check the checkbox to agree to the terms and conditions
  8. Click Save

Entering your payment source information will not result in automatic withdrawals from your bank account when you file your return. This process just enters the payment source information into eTaxBC. You must still authorize your payment for every period.

 How do I make a payment?

  1. Log in to your eTaxBC account
  2. Under the Accounts tab, click on the account number
  3. Click on the appropriate Pay link:
    • Return payment: To make a payment for a specific period, click on the Pay link to the right of the period date near the bottom of the screen.
    • Outstanding balance payment: To make a general payment to the account, click on Pay Remaining Balance at the top, left-hand column of the screen. You can change the amount. This payment is applied to the oldest debt first.
  4. Confirm the Payment Date is correct
  5. Enter the amount of your payment
  6. Select your Payment Source (bank)
  7. Check the checkbox to authorize the payment
  8. Click Submit

 Can I post-date a payment?

Yes, you can post-date a payment up to one year by changing the Payment Date when you submit a payment in eTaxBC  Your payment will remain as pending until the date you have specified for payment. You can't backdate a payment.

 Can I pay by credit card?

No, the ministry does not accept credit card payments.

 Can I file my return on eTaxBC and pay through online banking?

Yes, you can. Please contact your financial institution for information regarding their online bill payment process.

 If I pay on the due date, when is the payment processed?

The payment is processed on the date you enter as the Payment Date when you submit the payment in eTaxBC  If you submit the full payment on the due date before midnight Pacific Standard Time, the payment will be considered on time.

 How do I know if a return or payment was accepted?

When you submit a return or make a payment, you will receive a confirmation number. If you check the confirmation number under the History tab in your account the next day, it will list a status of Completed.

  1. Log in to your eTaxBC account
  2. Click on the account number the payment is under
  3. Click on History

The payment will be accepted by the Ministry, subject to the payment being cleared by your financial institution. Your financial institution may still reject the payment.

Note: Post-dated payments will remain with a status of Pending until the date of payment.

 How do I change or withdraw a request that hasn't been processed?

You can withdraw and resubmit a request if it has not been processed. Requests are processed every evening or on the date specified for the payment.

To change a return:

  1. Log in to your eTaxBC account
  2. Click on the History tab
  3. Click on the title of your pending request
  4. Click on Change at the bottom
  5. Make your change
  6. Click Submit

To withdraw a payment request:

  1. Log in to your eTaxBC account
  2. Click on the Requests tab
  3. Click on the title of your pending payment
  4. Click Withdraw Request

 How do I change or withdraw a request that has already been processed?

For returns, you can change a return that has already been processed by filing an amended return, including a Nil return.

Payments that have been processed cannot be changed or withdrawn in eTaxBC but you can contact your financial institution to see if they can stop the payment. If required, you can make additional payments. If you have overpaid and your financial institution cannot help, contact the ministry.

 How can I avoid losing my commission and being charged penalty and interest?

Your return and full payment must be submitted before midnight Pacific Standard Time on the due date to be considered on time.

If you do not have a tax return listed in eTaxBC for the reporting period, you still need to pay your taxes in full by the due date. Contact the ministry if you have any questions.

 I provide accommodation. Do I have to register for the Municipal and Regional District Tax (MRDT)? How do I manage my list of MRDT jurisdictions?

If you provide accommodation, please consult the PST and MRDT Guide for Accommodation Providers. Contact the ministry for information on how to register.

 What if I forget my password?

If you have forgotten your password, you can: 

  1. Use the Forgot my Password link on the eTaxBC homepage and follow the prompts to reset it. You will need your username and the answer to the security question that you chose when you created your eTaxBC account.
  2. Contact Taxpayer Services at 1-877-388-4440 between 8:30am to 4:30pm, Mon-Fri, to have your account unlocked. You will need your legal name, business number and account number when you call.

If you enter your password incorrectly more than three times, you will be locked out for 15 minutes. After 15 minutes, you can try again.

 What if I forget my username?

If you do not know your username, you can:

  1. Check the email that was sent to you when you created your eTaxBC account.
  2. Use the Forgot my Username link on the eTaxBC homepage and follow the prompts to reset it. You will need the email address that you entered when you created your eTaxBC account.
  3. Contact Taxpayer Services at 1-877-388-4440 between 8:30am to 4:30pm, Mon-Fri, to have your account unlocked. You will need your legal name, business number and account number when you call.

 How do I change my business name?

  1. Log in to your eTaxBC account
  2. Click your legal name under Names and Addresses in the center column at the top of the page

If you would like to change your business operating name (DBA):

  1. Log in to your eTaxBC account
  2. Click on your tax account number on the account page 
  3. Click your DBA name  under Names and Addresses in the center column at the top of the page

 How do I change my mailing address?

You can change your mailing address for:

  • The entire business (legal entity)
  1. Log in your eTaxBC account
  2. Click on your mailing address under Names and Addresses in the center column
  3. Complete the form
  4. Click Save
  • A specific tax account
  1. Log in to your eTaxBC account
  2. Click on the tax account number for the account you want to change
  3. Click on your Mailing Address under Names and Addresses in the center column
  4. Complete the form
  5. Click Save

The address should be updated within 24 to 48 hours*. To view the status of your request, click Requests in the dark blue bar.

 How do I change my location address?

You can change your location address for:

  • The entire business (legal entity)
  1. Log in your eTaxBC account
  2. Click on your mailing address under Names and Addresses in the center column
  3. Complete the form
  4. Click Save
  • A specific tax account
  1. Log in to your eTaxBC account
  2. Click on the tax account number for the account you want to change
  3. Click on your location address under Names and Addresses in the center column
  4. Complete the form
  5. Click Save

The address should be updated within 24 to 48 hours*. To view the status of your request, click Requests in the dark blue bar.

* Due to high volumes this number may vary.

Note: A location address is the physical location of your business. A mailing address is where tax returns and other important correspondence will be sent.

 When will my account get locked out if I enter my credentials incorrectly?

Your eTaxBC account will be locked out if you enter your credentials incorrectly 3 times. You will get an error message that says “Password attempts exceeded”. You will need to phone the ministry at 1-877-388-4440 to unlock your eTaxBC account. You can also reset your password through eTaxBC. See “I forget my password” for instructions.

 What is the difference between Access Type and Access Level?

Access type is a security feature used to determine if someone who logs into eTaxBC is a Master or an Account Manager.

  • An eTaxBC Master can add, delete and change security levels for all users under your account. They can also view, file and/or pay, and change names and addresses at the tax payer (legal) and account level.
  • An eTaxBC Account Manager can view, file and/or pay for one or more specific account types depending on the access level that an eTaxBC Master has set up for the user.  They can change names and addresses at the account level only.

Access levels are defined for the usernames when additional access to accounts has been added. The access levels are as follows:

  • File: Allows users to view all information and file returns. 
  • Pay: Allows users to view all information and make payments. 
  • File & Pay: Allows users to view all information, file returns, and make payments. 
  • View: Allows users to only view information.

 How can I change the access type for a user?

Only a Master logon can change an access type.

  1. Log in to your eTaxBC account
  2. Click the View Profile link beside I Want To... in the top right-hand corner
  3. Click Manage Logons in the dark blue bar
  4. Click Active for the login name that you wish to view 
  5. Use the Access Type drop-down field to adjust the access
  6. Click OK. The access change should be visible on the screen

 I have followed the steps to request an update to my account, but eTaxBC still shows the old information. When will it be updated?

It depends. Requests such as changing the DBA name or address on your account, are within 24 to 48 hours*. You can confirm or track the status of requests by clicking History in the dark blue bar.

 How can I remove a user who no longer works for my business?

  1. Log in to your eTaxBC account
  2. Click the View Profile link beside I Want To... in the top right-hand corner
  3. Click Manage Logons in the dark blue bar
  4. Click Active for the login name that you want to remove
  5. Deselect the Active checkbox 
  6. Click OK from the list, you can see that the user is no longer active

 How do I close my account temporarily or permanently?

  1. Log in to your eTaxBC account
  2. Under the Accounts tab, click on the account you want to close
  3. Click on Close this Account under I Want To... in the top right hand corner
  4. Complete the form 
  5. Click Submit

The tax account should be closed within 24 to 48 hours*. To view the status of your request, click Requests in the dark blue bar.

How to Use eTaxBC

 Why did I receive a message that my session has "timed out"?

For security purposes, eTaxBC will time out if there has been no activity for 15 minutes. You will automatically be redirected to log back into the eTaxBC home page.

 Why did I receive the message "Webpage has expired"?

Always use the navigation links provided in the menu on the left. Using the "forward" and "back" buttons in your web browser will trigger this message, and may also cause loss of data or other unexpected results. In general, you may only see this message for a moment before being redirected to the eTaxBC home page.

Note: Always close your web browser after logging out of eTaxBC to help protect your personal data.

 Why don't some of the features work in eTaxBC?

eTaxBC uses pop-up boxes to provide additional information. Disable pop-up blockers in your web browser or add the eTaxBC website (https://www.etax.gov.bc.ca/btp/eservices) to the list of allowed sites in your web browser privacy settings.

 

The window isn't showing buttons and fonts properly. How can I change this?

This is because your browser options are set to ignore fonts specified on the web page.

To use the fonts defined for the web page do the following:

  • Internet Explorer: Settings (gear icon) > Internet Options > Accessibility > Uncheck all options under formatting (i.e., don’t ignore anything)
  • FireFox: Settings > Content > Fonts & Colors > Advanced: Check “Allow pages to use their own fonts, instead of my selections above"
  • Chrome: Settings > Show Advanced Settings > Web Content: set to ”Medium” and ”100%”
  • Safari: Settings > Preferences > Advanced: Under "Style sheet” make sure that “None Selected” is selected

 What internet browsers are supported with eTaxBC?

To access the new online registration system, you’ll need one of the following supported browsers and versions:

  • Internet Explorer 8+
  • Chrome
  • Firefox 3.5+
  • Safari 5+
  • Opera 11+

 The font is really small on my window. How do I zoom in?

Hold your Ctrl key down on your keyboard and wheel your mouse.

 Who can I contact for additional assistance?

Once you have an eTaxBC account, you can communicate with the Ministry of Finance using a secure messaging system or call 1-877-388-4440.

 To send a message:

  • Log in to your eTaxBC account
  • Click the Messages tab on the dark blue bar
  • Click the Send Message sub-tab
  • Complete the message form
  • Click Send Message

 I want to send something to the ministry. Can I attach it to my message? How big can the attachment be?

Yes, if you have an eTaxBC account, you can send a message with an attachment. The maximum size of an attachment is 50 MB.

 Why are some messages and letters missing on one tab when they are listed on another tab?

The messages and letters shown will vary depending on what page you are on. The main page (the one visible when you sign on) contains information for all accounts; however, when you click on a specific account only the messages and letters for that account will be shown.

 What does History mean?

History is a page that provides you with a list of the requests you have submitted and includes the date, status, and confirmation number of each request. To review a request, click on the title of the request.

When you are on the main (home) page, you will see the requests for all of your accounts. To see the requests for a specific account:

  1. Click on the tax account number
  2. Click the History tab
