The [name of public body] received your request for access to records under the Freedom of Information and Protection of Privacy Act (the Act) on [date]. You requested copies of [describe records requested, quoting directly from the applicant’s request where possible].  

The Act allows 30 business days for us to respond to your request so you can expect a response by [date]. We will, of course, make every effort to respond sooner if possible.

You should be aware, however, that that Act does, allow, in certain cases, for the 30-day time period to be extended. We will notify you as soon as possible if there is a need to extend the time limit for responding to your request.  

If you have any questions now or during the processing of your request, please write or call [name of analyst], the Analyst assigned to your request at [telephone number].
