Asset Disposal Process

Asset Investment Recovery (AIR) is responsible for the disposal of surplus tangible assets of the province of British Columbia.  When ministries and broader public organizations identify assets that are surplus to their needs, they need to complete an Asset Disposal Report (ADR).

To complete an ADR, please visit our website at assetdisposal.gov.bc.ca, where you can start the electronic ADR process.  If you are new to using this site please read the information below which outlines how to complete an ADR.  If you still have questions or don’t have access, contact AIR by email at surplus@gov.bc.ca or by phone at (250) 952-4439 for assistance.

There are five steps that need to be completed within the report.  The last step is to confirm the information within the ADR and then hit the submit button which sends the report to your expense authority.  Once the expense authority gives their authorization you will be notified by email that your disposal report has been finalized.  This confirms the report has been submitted to AIR and arrangements can be made for delivery/pick-up.

Step 1 - Originator Information

  1. Verify that your customer number is accurate and then you can input originator information
  2. Click next

Step 2 - Custodian Information

  1. If you are selling your assets from site deselect box next to Assets are coming to AIR facility
  2. Select radio button to determine if AIR or the client is to arrange shipping
  3. Select location and add any additional shipping instructions where prompted
  4. Input Contact Information or select box if same as originator. Click box again to edit information
  5. Click next

Step 3 - Add Asset

  1. Select Asset type of General, IT or Vehicle (a separate ADR will need to be created if you are submitting more than one category)
  2. Click the Add button
  3. You can use the key word search function to find the asset at the top or use the category list then select an appropriate commodity
  4. Enter the quantity of items being declared, (I.E. 10 desks) and type a brief description for more details
  5. Click Save
  6. If you have more assets, click the add button again
  7. Once you have added your surplus assets, click next

Step 4 - Account Coding

  1. Input Account Coding as required (example below):
    • Expense Authority Email: first.last@gov.bc.ca
    • Fiscal Year: XXXX
    • Client/Ministry: XXX
    • Responsibility: XXXXX
    • Service Line: XXXXX
    • STOB: XXXX
    • Project: XXXXXXX
  2. Click Next

Step 5 - Confirm and Submit

  1. Confirm information is correct
  2. Submit (to expense authority) for action
  3. Once approved you will be sent an email
  4. Click on the link in the email as you will need to include a (printer friendly) copy of the approved ADR with the shipment

  1. Review the input information displayed on screen.
  2. Click the submit button for AIR to receive and action your disposal request.
  3. Include a copy of the submitted ADR with your assets for disposal.
